TITLE:

Secretary to the Superintendent and Board of Education

Pinconning Area Schools

 

QUALIFICATIONS:

  1. Post-secondary training required, bachelor’s degree preferred.
  2. Three or more years’ secretarial experience.
  3. High degree of proficiency in office procedures; possesses secretarial skills including typing, dictation/Dictaphone, and knowledge of bookkeeping procedures.
  4. Working computer knowledge including use of word processing, spreadsheets, databases, e-mail, internet, and Skyward program.
  5. Professional tact, diplomacy, and presentation with administrators, staff, teachers, students, parents, and the community.

Such alternatives to the above qualifications as the board of education may find appropriate and acceptable.

Superintendent of Schools

 

JOB GOALS:

To assist the superintendent and board of education in developing and maintaining the best possible educational programs and services.

 

PERFORMANCE REPONSIBILITIES:

  1. General/Secretarial Duties for Superintendent and Board of Education, to include, but not limited to typing all correspondence, answering phones, greeting customers, working with all stakeholders, scheduling appointments, registering for conferences, agendas, evaluations, purchase orders, preparing FOIA’s, creating and compiling parent and staff surveys, update website,  works with School Messenger program, school closings, create calendar, Orders offices supplies and maintains office equipment such as copiers and folders, interoffice phone guide, and retention of such materials.
  2. Responsible for new employee paperwork, checklists, creates and compiles exit surveys, organizes opening day for staff, assist with contracts,.  Assist compiling superintendent evaluations.  Preparing job descriptions, issuing job postings, assignment letters, reasonable assurance, maintaining proper compliance postings, in accordance with Board policy. and retention of such materials
  3. Board Secretarial Duties; including but not limited to preparing board packets, agenda, postings of meetings and special meetings, closed sessions, student disciplinary hearings, scheduling and posting committee meetings, typing minutes, resolutions, professional development, evaluations, retention of all materials, assists with maintaining updated policies, etc.
  4. Prepare, update and submit state and federal reports, via State portals including, but not limited to; all pupil related membership, REP, CRDC, Days & Hours, EEM, SID, MIOSHA, school of choice postings and agreements, MCIR, ensuring all teachers are certified and qualified, etc.
  5. Trains and in-services support staff in pupil accounting processes.  Assists support staff and Administration with Skyward student management system and beginning/end of year processes.
  6. Coordinates drug testing process for transportation employees, random and post accident.
  7. Prepares, answers, files and logs worker’s comp claims and injury, maintains files, acts as liaison with insurance company.  Coordinates student insurance notices.
  8. Acts as the Local Agency Security Officer for criminal record checks and ensures all employees have required background checks in compliance with state regulations.
  9. Acts as the McKinney-Vento/Foster Care Liaison for the district.
  10. Other duties as assigned

TERMS OF EMPLOYMENT

Full-time, twelve-month contract with salary and fringe benefits per the Administrator Contract.

 

The employee shall remain free of any alcohol or nonprescribed controlled substance in the workplace throughout his/her employment in the District as noted per Board Policy 1400.

 

SALARY RANGE

 

$38,500 commensurate on education and experience.
